Caeli, LLC (“Caeli,” “we,” “us,” or “our”) respects your privacy and is committed to protecting personal data. This Privacy Policy describes how we collect, use, disclose, retain, and protect personal data in connection with:

  • our website located at https://www.caelibenefits.com (the “Site”);
  • the Caeli platform, applications, integrations, and related services (the “Services”); and
  • other interactions you have with us.

This Privacy Policy applies to individuals who interact with Caeli in their individual or representative capacity, including visitors, prospective customers, customers, and customer representatives (“you”).


1. Scope and Applicability

This Privacy Policy applies where Caeli acts as a data controller under applicable data protection and privacy laws, meaning we determine the purposes and means of processing personal data.

This Privacy Policy does not apply to personal data processed by Caeli on behalf of its customers (“Customer Data”) where Caeli acts as a service provider or data processor pursuant to a separate agreement, including the Platform Agreement and the Data Processing Addendum. In those cases, the applicable customer is the data controller, and its privacy practices govern such processing.


2. Personal Data We Collect

We collect personal data in several ways, including directly from you, automatically through your use of the Site or Services, and from third parties.

a. Information You Provide Directly to Caeli

We collect personal data that you provide directly to us when you interact with Caeli in your individual or representative capacity, such as when you:

  • create or manage an administrative or user account;
  • contact us directly for support, inquiries, or communications unrelated to use of the Services on behalf of a customer;
  • sign up for newsletters, events, or marketing communications;
  • submit forms through the Site;
  • respond to surveys or provide feedback.

This information may include your name, email address, phone number, job title, company name, account credentials, and any other information you choose to provide.

b. Customer Data and End-User Interactions

Personal data submitted to the Services by or on behalf of a customer, including information provided by individuals using the Services through a customer’s workspace, integrations, or applications (such as employees interacting with Caeli via Slack or other collaboration tools), is processed by Caeli on behalf of the customer.

In these cases, the customer is the data controller, and Caeli processes such personal data solely as a service provider or processor in accordance with the applicable Platform Agreement and Data Processing Addendum. This Privacy Policy does not apply to such Customer Data.

c. Information Collected Automatically

When you visit the Site or use the Services, we may automatically collect certain information, including:

  • IP address, browser type, device identifiers, operating system;
  • usage data and interaction logs;
  • cookies and similar tracking technologies (as described in our Cookie Policy).

d. Information from Third Parties

We may receive personal data about you from third parties, such as service providers, marketing partners, referral partners, or publicly available sources, consistent with applicable law.


3. How We Use Personal Data

We use personal data where we are the controller to:

  • provide, operate, maintain, and improve the Site and Services;
  • create, authenticate, and manage user accounts;
  • communicate with you, including responding to inquiries and providing customer support;
  • send administrative, product, or marketing communications where permitted by law;
  • personalize and enhance your experience;
  • monitor, secure, and protect our systems and users;
  • comply with legal obligations and enforce our agreements.

We may aggregate or de-identify personal data so that it can no longer be associated with an individual and use such information for analytics, research, and business purposes.


4. How We Share Personal Data

We may share personal data where we are the controller with:

  • Service providers and vendors who perform services on our behalf (e.g., hosting, analytics, communications, customer support);
  • Affiliates for business operations;
  • Business partners where you choose to engage with joint offerings or integrations;
  • Legal or regulatory authorities where required by law or to protect rights, safety, or property;
  • Successors in connection with a merger, acquisition, reorganization, or sale of assets.

We do not sell personal data. Personal data processed as Customer Data is shared only in accordance with the applicable Platform Agreement and Data Processing Addendum.


5. Data Security

We implement reasonable administrative, technical, and organizational measures designed to protect personal data against unauthorized access, loss, misuse, alteration, or destruction. While no system can be completely secure, we seek to protect personal data in accordance with industry standards and our Security Addendum.


6. International Data Transfers

Personal data may be transferred to and processed in countries other than your country of residence, including the United States. Where required by applicable law, Caeli relies on appropriate safeguards, such as standard contractual clauses or other approved transfer mechanisms, to lawfully transfer personal data internationally.


7. Data Retention

We retain personal data only for as long as necessary to fulfill the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by law.

Customer Data processed on behalf of customers is retained in accordance with the applicable Platform Agreement and Data Processing Addendum.


8. Your Privacy Rights

Depending on your location and applicable law, you may have rights with respect to personal data we control, including the right to:

  • access, correct, or update personal data;
  • request deletion or restriction of processing;
  • object to certain processing activities;
  • request data portability;
  • withdraw consent where processing is based on consent.

9. Children’s Privacy

The Site and Services are not directed to individuals under the age of 18. Caeli does not knowingly collect personal data from children under 18. If we become aware that we have collected such data, we will take appropriate steps to delete it.


10. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will post the updated version on the Site and update the “Last Updated” date. Continued use of the Site or Services after an update constitutes acceptance of the revised Privacy Policy.
